Outline is an open-source knowledge base for your own team - run either as a cloud subscription or on your own infrastructure. Aveela is built for the other direction: documentation your client reads rather than your team - separated per client and in the matching visual identity. The comparison is worth making mainly because self-hosting gives Outline an answer to the hosting question that no other tool in this list offers.

Outline

A knowledge base and wiki for your own team - Outline describes itself as "your team’s knowledge base": real-time collaboration, comments, search with AI answers, 20+ integrations and an open API.

Authoring

Aveela

AI drafts from screenshots, capture via the browser extension, an AI writing assistant for selected text, translation drafts and screenshot annotation in the editor.

Outline

An editor with real-time collaboration, comments and threads; the AI answers questions about the documents you already have. Capturing screenshots and drafting from them is not part of it.

The space is the client portal: logo and colours per portal, access public, via a share link, or behind a login with invitations - decided per space. White-label under your own subdomain on the Agency plan.

Outline

Individual documents and whole collections can be shared publicly. Logo and colour scheme apply to the entire workspace, not per client. A custom domain is a $20/month add-on on cloud-hosted Outline, and it removes Outline branding from all publicly shared content.

Two plans, limited by spaces, pages, storage and AI generations. Your readers never take up a paid seat.

Outline

A flat price by team size rather than per seat: "Starter" $10/month for 1-10 members, "Team" $79 for 11-100, "Business" $249 for 101-200. The first 30 days are free; after that the knowledge base is read-only until payment is added.

Hosting and data protection

Aveela

Hosted exclusively on servers in Germany, a data processing agreement as standard, AI features through a European provider. Your content is never used to train models.

Outline

Outline states this openly: its servers are in the US, the data centres are run by Amazon Web Services, and by its own account there is currently no EU-hosted cloud option. If your data has to stay in the EU, the answer is the enterprise licence and running Outline yourself. A data processing agreement is available on request from support. Encryption is TLS in transit and AES-256 at rest.

A hosted subscription. You never have to run a server - and you cannot run one either.

Outline

Open source and self-hostable, on your own hardware or the cloud provider of your choice. That puts region, operations and data entirely in your hands - in exchange for actually doing it.

Where Outline is the better choice

  • Your documentation is internal team knowledge. That is exactly what Outline is built for, with real-time collaboration, comments and integrations Aveela does not have.
  • You want open-source software, or you want to self-host. Aveela only exists as a hosted subscription - and if you run your own server, you answer the data-region question better than we can answer it for you.
  • You need an open API and connections to Slack, Figma and similar tools.
  • Your team is large: a flat price by team size gets cheaper per head the more people write.

In short

Outline is your own team’s knowledge base, Aveela is the documentation that reaches your client - two directions, not two competitors. One point deserves honesty: if you self-host Outline, our strongest argument - hosting in Germany - is no longer an argument for you. What is left to decide is whether every client should get their own branded portal, and whether going from screenshots to a finished draft saves you work you do by hand today.
