XDOKU and Aveela start at the same point: click through a workflow once instead of typing it out. The difference is what comes next. XDOKU is a documentation tool with a very wide range of output formats and a knowledge base, licensed per user. Aveela is built for the handover from agency to client: a separate, separately branded space per client, two flat-price plans instead of a per-user licence, and your clients read without an account of their own. On hosting the two hardly differ - both state European servers.

Browser extension as a side panel: record a use case - you click through the workflow once and the extension keeps every screen, dialogs and menus included - or collect individual screenshots, full page or a selected region. You pick the target space up front; the AI writes a page draft with steps and images from it. Recording works in the browser only; there is no desktop app.
XDOKU
Records the workflow while you perform it: every click becomes a step with a screenshot and the click position highlighted, and on the paid plans the AI writes the description. XDOKU states a desktop app for Windows, Mac and Linux plus a browser extension. From "Pro" upwards it adds import from video, images, URL, Word and PDF.

XDOKU
A knowledge base published as a portal with your logo, colours and own domain: public from "Lite", public or private from "Pro". The home page describes it as a central portal for your team and clients. Also embedding via a code snippet and, from "Pro", publishing to Confluence, SharePoint, WordPress or via FTP. Whether several separate portals can be set up alongside it - say one per client with its own branding - and which plan includes the custom domain, the pages linked below do not say. Ask the vendor if that is decisive for you.

XDOKU
Licensed per user: "Free" is free forever for 1 user with 10 documents and no knowledge base, "Lite" is €19.90 and "Pro" €39.90 per user per month - shown excluding VAT and billed annually - and "Corporate" is priced on request. The paid plans come with a 7-day free trial.
Hosting and data protection
Aveela
Servers and database in Germany, media files in the EU, AI features through a European provider, a data processing agreement as standard, no third-country transfer. Your content is never used to train models.
XDOKU
The two are close here: XDOKU states that it hosts its database and media files entirely on European servers, and states GDPR compliance. The application stores documents locally on your computer first; according to XDOKU only what you publish reaches the cloud. The pages linked below do not name a specific country for the servers.
Where XDOKU is the better choice
- You need the result as a file - Word, PowerPoint, narrated video, GIF or Markdown. Aveela publishes as a web portal and does not offer these export formats.
- You also document software outside the browser. XDOKU states a desktop app for Windows, Mac and Linux; Aveela records in the browser only.
- Your readers should be able to ask an AI assistant that answers from your documentation - embedded in your own website if you like. Aveela does not have that.
- You want to work free of charge and locally for good: XDOKU has a free plan for one person with local storage, Aveela does not once the 14-day trial ends.
In short
Both record workflows, and both state European servers - that is not where the choice is made. XDOKU is the better choice when your documentation is needed as a file in many formats, or is created on the desktop. Aveela is built for the handover to your clients: every client gets a separate, separately branded space, reads without an account of their own, and you pay a flat price per plan instead of a per-user licence.
