Who explains your custom software, if not you?

Your clients look it up instead of calling you.

You use your software once, the way your client would – say, creating a case or exporting a report. A browser extension takes a screenshot of every step, and the AI turns them into an illustrated guide. Together, the guides become your client's online handbook: with their logo and colours, reachable by link for their whole team.

The software is finished. Nobody has explained it yet.

There is no other documentation

For off-the-shelf software there is a YouTube tutorial, the vendor's help pages, a forum with the same question. Not for your software: you are the vendor. Whatever you do not write down is written nowhere.

The knowledge lives in people's heads

How a process really works is known to the people on the project: your team and the client's key users who helped build it. Whoever joins later has to ask - usually you.

The training that never ends

Every new hire at the client, every stand-in, every additional site in the rollout: another training call, the same screens again. No quote ever covers the time it takes.

How it works

Click through once, explained for good

  1. 1

    Record in your application

Start a recording in the Aveela extension for Chrome and click through the workflow as usual, ideally on the test or demo system. The extension stays open as a side panel and captures every screen. It does not transfer what you type into fields as text, and it skips password fields.

  2. 2

    The AI writes the draft

The screens become a page with headings, numbered steps and every screenshot in the right place. You add what only your team knows - why a field is required, who approves, what happens next - and publish the page.

  3. 3

    The guides become their handbook

Every guide lands in your client's space. Together they make up the handbook for their software - with their logo and colours, organised into chapters, with search. In the example: the management portal of a made-up property management company, built by an equally made-up agency.

What your client gets

A handbook of their own

Every client gets their own, cleanly separated handbook as a portal, for the software only they have. You manage them all from one account: up to 5 clients on the Freelance plan, up to 25 on the Agency plan.

Public or for users only

With a share link everyone reads without an account. If the docs for an internal application should stay private, invite the users by email instead. Readers never take up a paid seat.

In their own brand

The client's logo and colours are available on every plan. The handbook feels like part of their software, not like somebody else's tool.

Under your name (Agency)

On the Agency plan the portal runs under your own subdomain, and the footer shows your logo instead of the Aveela badge.

The docs grow with the software

For go-live you record the workflows every user needs - in this client's application, with their screens and their terms. With every release you add what is new or has changed. Both live in the same space, organised into chapters.

For go-live

  • Signing in, roles and who may do what
  • The core workflows of each department
  • Searching, filtering and reports
  • Import and export

With every release

  • New feature, new page
  • Changed screen: re-record only that workflow
  • Language versions for users in other languages
  • Several editors from your team in the same space (Agency)

A guide does not update itself. After a release you re-record only the workflows that changed; every other page stays as it is.

Frequently asked questions

What if the software is not a web app?

Recording only works in the browser: the extension runs in Chrome and sees what happens in a tab. For a desktop application, take screenshots with your operating system and upload them in the editor via "Draft from screenshots" - the AI writes the draft from them just the same. All you lose is the automatic recording.

Do we have to build anything into our application?

No. Recording happens in the browser, not through an integration with your software. There is no library to include, no access to code or servers for us, and nothing your client's IT has to approve.

Our clients know the software better than any documentation.

True - the people at the client who helped build it. The docs are for those who come after: additional users in the rollout, new staff, the stand-in during a holiday. They were never on the project; for them, only what is written down counts.

Does real customer data end up in the guide?

The extension does not transfer what you type into fields as text and skips password fields entirely. Only what is visible in the screenshot shows up - so ideally record on the test or demo system. The AI is instructed not to carry over names of people, companies or addresses from a recording, and you review the draft before you publish it.

What happens after a release?

You re-record only the workflows that changed and replace the affected pages with them. New features get a new page. Everything else stays - and lives in one place instead of in several PDF versions sent around.

Do all users have to sign up?

No. With a share link they read without an account. If the handbook should not be public, invite the users by email; they still do not take up a paid seat.

Does it work for users in several languages?

Yes. You maintain a space's content per language, and the AI drafts the translation of a page for you to review. Aveela's interface is available in German and English.
